Graduation Deadlines
MAY 2008 Graduate Degree Deadlines
Friday January 25, 2008: Apply to Graduate
Deadline for submitting the "Apply to Graduate" form. Log into ACES and click on the “Academics” heading. The Graduation list submitted to the University Marshal is generated from the “Apply to Graduate” Forms. If you do not submit the “Apply to Graduate” form you will not graduate in May. If your committee is not approved (exceptions: G-PIDP, G-PPS) you will not be eligible to Apply to Graduate.
Tuesday April 1, 2008: Paper Dissertation Format Check
You must drop off your theses/dissertation to the Graduate School , 127 Allen building, at least one week prior to your defense and by no later than April 1, 2008. You will receive an email from the Graduate School informing you of any formatting problems. Once you have received the email (and not before), please use our online Appointment Calendar to schedule a time to meet with a Graduate School staff member. When selecting a time and staff member with whom to schedule your appointment, be sure to choose the one who corresponded with you regarding formatting problems, etc. During your visit to the Graduate School , you will receive your Final Exam Card and have the opportunity to fill out our Exit Survey.
Tuesday April 1, 2008: Electronic Dissertation Format Check
Before using the Electronic method of submitting your dissertation please read the following:
To complete the Electronic Dissertation Submission process you must sign the “ Non-Exclusive Distribution License.” Your participation in DukeSpace is a requirement since there will not be a hard copy of your dissertation on the shelves of Perkins Library.
Deadline for submitting the Ph.D. Dissertation to UMI/ProQuest for a format check in the Graduate School Remember that the format check must take place at least one week prior to the defense.
- After you submit your electronic dissertation you will receive an email from the Graduate School within two business days informing you of any formatting problems. Wait for this email before scheduling your appointment to pick up your Final Examination Card.
- Once you receive the email, please use our online Appointment Calendar to schedule a time (at least one week prior to your Dissertation Defense) to meet with someone in the Graduate School 127 Allen building. Select the “Electronic Submission” option to schedule your appointment. The appointment Calendar can be found at:

Tuesday April 8, 2008: Master's Thesis Format Check
Deadline for submitting the thesis for a format check in the Graduate School . Remember that the format check must take place at least one week prior to the defense . The Master's thesis cannot be submitted electronically.
Friday April 18, 2008: Dissertation/Master's Thesis Defense Deadline
Final day to hold the Ph.D. dissertation or Master's thesis defense to receive the degree in May 2008.
Friday April 25, 2008: PhD and Master's Exam Cards
All Ph.D. final exam cards and Master's final exam cards (both Master's with thesis and non-thesis Master's) must be submitted to the Graduate School by 5:00 p.m.
Friday April 25, 2008: Final Dissertation and Thesis Submission
All defended, completed Ph.D. dissertations (paper submission) and Master's theses must be submitted to Perkins Library by 3:00 p.m.
All defended, completed electronic dissertations must be delivered to UMI/ProQuest by 3:00 p.m.
Monday April 28, 2008 -- Friday May 2, 2008: Extension Week
- Students who qualify for Extension Week will not be eligible to participate in the May 2008 commencement ceremony.
- To take advantage of Extension Week, the student must have met the requirement of the April 1 Format Check deadline.
- The completed,defended dissertation/thesis must be submitted to Perkins Library or UMI/ProQuest (for electronic dissertations) no later than 30 days after the date of the defense to exempt the student from registering for the Summer 2008 term.
- The student is required to file a new “Apply to Graduate” form for Summer Term 2 graduation and will receive a September 2008 degree. If the final dissertation/thesis is not submitted within 30 days of the defense, registration for Summer 2008 will be required and a Continuation fee will be assessed.
SEPTEMBER 2008 Graduate Degree Deadlines
July 1, 2008 Tuesday
Deadline to log into ACES and complete the apply to graduate process. Click on the "Academics" heading. Only the names of those students who complete this process will be listed on the graduation list for September. While in ACES, check your committee composition to confirm that the committee listed there is, in fact, your final committee. If this information needs to be updated, you must submit a revised “Committee Approval” form prior to the receipt of your final exam card.
July 28, 2008 Monday (paper submission only)
Deadline for the master's thesis and Ph.D. dissertation format check by Graduate School staff. Please deliver your thesis or dissertation to 127 Allen Building at least a week prior to your defense and no later than July 28. After you receive your format check sheet by e-mail please use our online Appointment Calendar to schedule your appointment to pick up your Final Examination Certificate. Please make your appointment with the person who sent your format check sheet. During your visit to the Graduate School , you will have the opportunity to fill out our Exit Survey.
July 28, 2008 Monday (electronic Ph.D. dissertation submission only)
NOTE: Electronic Submission not an option for master's thesis submission
The final day to submit your dissertation to UMI/ProQuest. You will receive an email from a Graduate School staff member informing you of any formatting problems. Once you have received the email (and not before), please use our online Appointment Calendar to schedule a time for your appointment with the Graduate School staff member who sent your format check sheet. During your visit to the Graduate School , you will receive your Final Exam Card and have the opportunity to fill out our Exit Survey.

August 8, 2008 Friday
If you submitted your dissertation electronically to UMI/ProQuest for your format check, your defended, completed electronic dissertation must be delivered to UMI/ProQuest by 3:00 p.m. (Eastern Standard Time). Please note that this is the final deadline and all font and other issues must be resolved by this date and time.
All defended, completed paper dissertations and theses must be submitted to the Circulation Desk in Perkins Library by 3:00 p.m.
Final exam cards must be delivered to the Graduate School by 5:00 p.m.
